Sales Tax Registration & Returns — Get Your Sales Tax Permit in the States Where You Actually Need One

Selling on Amazon, Shopify or your own store into the US? The moment you have nexus in a state, you must register for a sales tax permit, collect tax and file returns there — even as a non-resident. Extreme Filer checks your nexus first, registers you only where required, and files every return on time. 100% online, no US address of your own needed.

✓ Nexus check before you register ✓ Permits in any US state ✓ Returns filed monthly / quarterly ✓ Built for non-resident sellers
What Is a Sales Tax Permit?

The state registration behind every legal US sale

A sales tax permit — also called a seller's permit, sales tax license or sales tax ID — is your registration with a state's tax authority (usually its Department of Revenue). It gives your business the legal right — and duty — to collect sales tax from customers in that state and send (remit) that tax to the state on a set schedule.

It is state-by-state. There is no single "US sales tax permit": a permit for Texas covers Texas only, and a seller with obligations in five states holds five permits and files five separate returns. Sales tax rates, rules on what is taxable, and filing deadlines also differ in every state — which is exactly why sellers get this wrong when they try to copy a one-state setup everywhere.

A permit is not the same as a reseller certificate. The permit lets you collect tax from buyers; a reseller certificate lets you buy inventory tax-free from suppliers. Most sellers need the permit first. And a permit is different from your federal EIN — the EIN is federal and identifies your business to the IRS, while the permit is state-level and identifies you to that state's tax department.

🧾

Collect tax legally

Without a permit you have no authority to collect sales tax — and collecting it without registering is itself a violation in most states.

🛒

Unlock marketplaces & suppliers

Amazon, Walmart Marketplace and serious US wholesalers ask for your permit and resale details during seller onboarding and brand approval.

📅

File & remit on schedule

Your permit comes with a filing frequency — monthly, quarterly or annual. Each period needs a return, even a zero-sales return.

🏷️

Buy inventory tax-free

Once registered, you can issue resale certificates to suppliers so you stop paying sales tax on stock you will resell.

🛡️

Stop back-tax exposure

Registering and filing from now forward stops unfiled-period exposure from growing — the worst sales tax problems are old, ignored ones.

📊

Clean books & records

State filings force accurate sales records state-by-state — the same records you need for Amazon reports, banking and your yearly IRS filings.

Nexus — The Rule That Decides Everything

Do you have nexus? That decides where you must register

You only register in states where you have nexus — a real connection to the state. Registering everywhere "just in case" wastes money and creates filing duties you don't need; registering nowhere is how sellers end up with assessments. There are two kinds of nexus:

1. Physical nexus

A physical presence in the state creates nexus immediately, from day one, with no sales minimum:

  • An office, shop, warehouse or other location
  • Employees, contractors or salespeople working in the state
  • Your inventory stored in the state — including Amazon FBA warehouses
  • Trade-show selling and other in-person activity in some states

This is the one FBA sellers miss: Amazon moves your stock between fulfilment centres, so your inventory — and your nexus — can appear in states you never chose.

2. Economic nexus

Since the 2018 Supreme Court Wayfair decision, states can require registration based on sales volume alone, with no physical presence at all:

  • The most common threshold is $100,000 of sales into the state in a year
  • Some states set higher thresholds (for example $500,000 in California, Texas and New York, which also has a transaction test)
  • A few states still count transactions as well as dollars
  • Thresholds are usually measured on a calendar-year or rolling basis — it varies by state

Cross the threshold and your duty to register, collect and file starts — the state does not notify you first.

Selling first and registering "later" reverses the legal order: technically you owe the tax on taxable sales made after nexus began, even if you never collected it from customers — meaning it can come out of your margin. If you suspect you crossed a threshold months ago, tell us on WhatsApp and we will map your exposure honestly before registering you.
Who Needs This Service

Built for cross-border and online sellers

Amazon FBA sellers

Your inventory sitting in Amazon warehouses creates physical nexus in those states. We map where your stock has been held, register you where required, and align your filings with Amazon's marketplace-facilitator collection so you never double-pay.

Shopify & WooCommerce stores

Your own store is not a marketplace facilitator — collecting and filing is entirely on you once you cross a state's threshold. We register you, help you switch on correct tax collection in your store settings, and file the returns.

Non-resident LLC owners

Foreign-owned US LLCs selling goods into the US face the same nexus rules as US sellers — with extra friction on state applications that assume a US address and SSN. We handle the non-resident paperwork route for you.

Wholesale & B2B sellers

Selling to US retailers and distributors means permits plus managing resale certificates from your buyers — and issuing your own when you buy stock. We set up both sides properly.

Sellers whose permit went inactive

Missed returns can get a permit revoked or made inactive — and selling on an inactive permit is a serious problem. First check whether you need our seller's permit reactivation help instead — we will tell you honestly which one your case is.

Growing brands going multi-state

Crossing $100k in a second, third or tenth state is a good problem — if each new registration, calendar and return is handled before the deadline, not discovered after an assessment notice.

Marketplace Facilitator Laws — Read This Carefully

"Amazon collects it" is true — and still not the whole story

Almost every state with a sales tax now has a marketplace facilitator law: when a sale is made through Amazon, eBay, Etsy or Walmart Marketplace, the platform — not you — must collect and remit the sales tax on that sale. For pure marketplace sellers this removes most collection work.

It does not remove your registration and filing picture entirely:

  • FBA inventory still creates physical nexus in the states where Amazon stores it — several states still expect you registered and filing there, reporting marketplace sales as deductions so no tax is double-paid.
  • Your own website, wholesale and off-platform sales are never covered by facilitator laws — those are yours to collect and file, always.
  • States differ on whether a marketplace-only seller must register at all. Guessing here is expensive in one direction and risky in the other.

Our nexus check separates your marketplace sales from your direct sales state-by-state, so your registrations match what the law actually requires of your channel mix — nothing more, nothing less.

How It Works

Sales tax registration in four steps

1

Free Nexus Check

Tell us where you sell, through which channels, roughly how much per state, and where any inventory sits. We identify exactly which states require registration — free, before you pay anything.

2

We Prepare & File

We complete each state's registration using your LLC details and EIN, through the route that works for non-resident owners, and chase the state until the permit is issued.

3

Permit & Account Delivered

You receive your permit/license number, your state tax account login details, your assigned filing frequency, and clear instructions for switching on collection in Amazon/Shopify/your store.

4

Returns Filed On Time

Each period, send us your sales report (or we work from your marketplace reports) and we prepare and file the return and tell you exactly what tax is due, before the deadline — every period, including zero-sales periods.

What we need from you: your LLC formation documents, your EIN letter, the owner/responsible party's details, your sales channels, and approximate sales by state (marketplace reports are ideal). If your company is not formed yet, start with US LLC formation and the EIN — a permit cannot be issued without them.

Honest timing: state processing ranges from same-day online issuance in some states to several weeks by paper in others, and non-resident applications are more likely to be handled manually. We give you a realistic estimate per state before filing and keep you updated.

Registration vs Returns — Both Halves Matter

Getting the permit is step one. The returns are forever.

Rate accuracy matters too: US sales tax is destination-based in most states and rates stack — state + county + city + special districts can mean thousands of different combined rates. Your store/marketplace settings must use the buyer's delivery address rate, and your return must reconcile with what was actually collected. We flag mismatches instead of filing numbers that don't tie out.

Staying Compliant

After your permit: the ongoing picture

Watch thresholds in new states

Growth creates new nexus mid-year. A seller registered in 2 states in January may owe registration in 6 by December — we re-check your state-by-state sales as part of return filing.

Keep your permit active

File every period, keep your business address and responsible-party details current with the state, and respond to state notices promptly. Repeated missed returns are the most common route to a revoked or inactive permit.

Match your other filings

Your sales tax records should agree with your bookkeeping and your yearly IRS information filings (such as Form 5472 for foreign-owned single-member LLCs). We keep the whole picture consistent under one roof.

No prices on this page — deliberately. State fees, the number of states and your filing frequency change the real cost. Message us your channels and main states and we will give you one exact quote on WhatsApp before any work starts.

FAQ

Sales tax questions sellers ask us

What is a sales tax permit?
A sales tax permit — also called a seller's permit or sales tax license — is a state registration that allows your business to collect sales tax from customers in that state and remit it to the state. You generally need a separate permit in each state where you have sales tax nexus.
What is sales tax nexus?
Nexus is the connection between your business and a state that creates a sales tax obligation there. Physical nexus comes from a location, employees or inventory in the state — including Amazon FBA warehouse storage. Economic nexus comes from sales volume alone, commonly $100,000 in sales into a state in a year, though thresholds differ by state.
Does Amazon already collect sales tax for me?
For marketplace sales, marketplace facilitator laws mean Amazon collects and remits tax on sales made through Amazon in most states. That does not remove your own obligations: FBA inventory can still create nexus and a filing requirement, and sales through your own website or other channels are always your responsibility.
Do I need a permit if I sell on Shopify?
Shopify is not a marketplace facilitator in the same way as Amazon — for your own store, you are responsible for registering, collecting and remitting sales tax in every state where you have nexus. We check your nexus first so you only register where you actually need to.
Can a non-resident with a foreign address register for a sales tax permit?
Yes. Foreign-owned US LLCs register for sales tax permits using their EIN and company details. Some states handle non-resident applications differently on paper, which is part of what we manage for you.
How often do I have to file sales tax returns?
The state sets your filing frequency — monthly, quarterly or annually — based on your sales volume. Returns are due even when you had no sales in the period; a missed zero return can still trigger penalties and put your permit at risk.
What happens if I had nexus but never registered?
Unregistered selling can leave back-tax, penalty and interest exposure, and there is generally no time limit on the state assessing tax for periods where no return was ever filed. Tell us your history honestly — in many cases a voluntary, orderly registration and filing catch-up is the cleanest way forward.
Is a sales tax permit the same as a reseller certificate?
No. A sales tax permit lets you collect tax from your customers. A reseller (resale) certificate lets you buy inventory from suppliers without paying sales tax on those purchases. Most sellers need the permit first — the resale certificate is then issued or used under it, depending on the state.
