What Is an Apostille?

An apostille is a standardized authentication certificate attached to a US document under the Hague Apostille Convention. It certifies where the document comes from — that the signature, seal or stamp on it is genuine — so the document is legally recognized in every other Hague Convention member country, with no further embassy steps needed.

For non-resident founders this is a critical, often overlooked step. Foreign banks, embassies, investors and foreign tax authorities routinely require apostilled formation documents — articles of organization, certificates of good standing, operating agreements — before they will open an account, register you locally or accept your US company’s papers. Which office issues the apostille depends on the document: state-issued documents are apostilled by the state’s Secretary of State, while federal documents go through the US Department of State. Submitting to the wrong office is the classic reason an apostille request gets rejected — identifying the right authority first is half the work.

Who Needs Apostille Services?

If a foreign institution is asking for “authenticated” or “legalized” US documents, this service is for you:

  • Non-resident founders — your home-country bank, embassy or regulator asks for apostilled US formation documents.
  • Companies opening foreign bank accounts — banks abroad commonly require apostilled articles of organization and a certificate of good standing.
  • Founders registering a branch abroad — foreign authorities want proof your US company exists and is in good standing, authenticated.
  • Owners dealing with foreign investors or partners — investors and acquirers want authenticated corporate documents before signing.
  • E-commerce & payment setups — Stripe, PayPal or a foreign payment processor asks for authenticated company proof during verification. See our US Business Bank Account support for the wider setup.
  • Anyone told “get it apostilled” — if an institution named the Hague Convention or asked for an apostille specifically, you are in the right place.

What’s Included in Our Apostille Service

From document review to the finished apostille — you never deal with the issuing office yourself:

Document Review

We identify exactly which of your documents need apostilles for your purpose — and which office each one goes to.

Certified Copies Obtained

Most offices only apostille certified or recently issued copies. We arrange fresh certified copies where your documents don’t qualify as-is.

Correct Authority Filing

State documents go to the right Secretary of State; federal documents to the US Department of State. We submit to the correct office for each document, with the proper request forms.

Tracked to Completion

We follow your documents through the office queue until the apostille is issued, and keep you updated at each stage.

Digital Delivery

You receive the apostilled documents digitally. Physical shipping is arranged as agreed when the receiving institution needs the originals.

Rejection-Safe Preparation

We check names, dates and certification status before submission — the small mismatches that cause most office rejections are caught before they cost you weeks.

Need the underlying documents first? We can prepare them too — LLC Formation paperwork, a fresh Certificate of Good Standing, or EIN documents — then apostille them in the same engagement.

Delivered to you digitally, with shipping arranged as agreed — ready to hand to the bank, embassy or authority that asked for them.

Apostille vs. Notarization vs. Embassy Legalization

These three get mixed up constantly — and each one solves a different problem. Picking the wrong one costs you weeks:

Notarization

A notary verifies signatures locally — that the person who signed is who they claim to be. It authenticates nothing about the document’s origin internationally, and a foreign bank will not accept it as proof of your company’s existence.

Apostille

The Hague Convention certificate attached to a US document, proving its origin so it is legally recognized in every other member country. This is what foreign banks, embassies and authorities mean when they ask for “authenticated” US company documents.

Embassy Legalization

The route for countries outside the Hague Convention — a longer chain of authentications ending at that country’s embassy. If your target country is a Hague member, you do not need this; the apostille is the shorter, correct path.

Not sure which one your institution actually needs? Tell us the country and the institution on WhatsApp — we will confirm the right route before you pay for anything.

Apostille — Frequently Asked Questions

What exactly is an apostille?

An apostille is a standardized authentication certificate attached to a US document under the Hague Apostille Convention. It certifies the origin of the document so it is legally recognized in other member countries, without any further embassy legalization.

Which countries accept an apostille?

All member countries of the Hague Apostille Convention accept apostilles — that includes most of Europe, the UK, India, Australia, Japan, South Africa and many more. For countries outside the Convention, a different route called legalization is used instead.

State documents vs. federal documents — which office handles my apostille?

It depends on who issued the document. State-issued documents like articles of organization and certificates of good standing are apostilled by that state’s Secretary of State. Federal documents, such as certain IRS letters, go through the US Department of State. We identify the correct authority for each document before submitting.

Do my documents need to be recent or certified before apostille?

Usually, yes. Most offices only apostille certified or recently issued copies — an old photocopy will be rejected. We check the requirements of the specific issuing office and obtain fresh certified copies where needed before the apostille step.

How long does an apostille take?

Processing speed varies by office — some Secretary of State offices turn documents around in days, others take weeks, and the US Department of State has its own timeline. We track your documents to completion and keep you updated; ask us on WhatsApp for the current picture for your state.

What does an apostille service cost?

Costs depend on the number of documents, whether certified copies are needed first, and the issuing office. Message us on WhatsApp for the exact price for your documents — no prices are listed here.

Need Your Documents Apostilled?

Send us which documents you have and which country they are for — we will confirm the correct office, flag anything that needs a fresh certified copy first, and share the exact price on WhatsApp. No prices are listed here because offices and document sets differ.
